Your privacy, explained.

We only collect the information we need to reply to you and to work with you, and we never sell it. Here’s exactly what happens to it, in plain English.

Who we are

This website is run by Amia Design Limited (“Amia Design”, “we”, “us”), a company registered in England and Wales, company number 13347147, at 34 Allwood Avenue, Scarning, Dereham, Norfolk, NR19 2TF.

We are the controller of the personal information described in this policy, which means we decide how it is used and are responsible for looking after it. You can contact us about anything in this policy by emailing info@amiadesign.co.uk or calling 07534 959217.

What we collect

When you send an enquiry

Your name, email address, phone number (if you give it), the services you’re interested in and your message.

When you contact us directly

Whatever you choose to share when you email, call or message us on WhatsApp, along with your contact details.

When you become a client

Contact and billing details, and the content, images and logins you give us so we can build and look after your project.

When you visit the website

Basic technical information, such as your IP address, browser and the pages requested, which our server may record to keep the site secure and running.

We don’t ask for, and don’t want, any sensitive information such as health details. Please don’t include it in your messages.

How we use it

  • To reply to your enquiry and give you advice or a quote.
  • To design, build, host and maintain your website, branding or other project.
  • To send invoices, take payments and keep our accounts.
  • To keep this website secure and working properly.
  • If you agree to analytics cookies, to understand how people use the website so we can improve it.

We will only send you marketing emails if you have asked us to, and you can opt out at any time. We never sell or rent your information to anyone.

Our legal reasons

Data protection law says we must have a lawful reason for using your information. Ours are:

  • Contract: when we need your information to provide services you’ve asked for, or to take steps before entering into a contract, such as preparing a quote.
  • Legitimate interests: to reply to enquiries, run our business and keep the website secure, in ways you would reasonably expect.
  • Legal obligation: to keep financial records, for example for HMRC.
  • Consent: for analytics cookies, which only run if you accept them. You can change your mind at any time.

Who we share it with

We only share your information with trusted services that help us run our business, and only as much as they need:

  • Google Workspace: our business email. Enquiries from the contact form are sent to our inbox.
  • Our website hosting: the secure server that runs this website, which also keeps a backup copy of contact form enquiries.
  • Google reviews: the reviews shown on this website, including reviewers’ profile photos, are loaded from Google, so Google can see your IP address when your browser loads them.
  • Google Analytics: only if you accept analytics cookies, to give us anonymous statistics about visits.
  • Microsoft Clarity: only if you accept analytics cookies, to show us anonymised heatmaps and replays of how people use the site. Anything typed into forms is hidden.
  • Professional advisers, such as our accountant, where needed to run our business, and authorities where the law requires it.

Some of these providers may process information outside the UK. Where they do, they use legal safeguards approved under UK data protection law to protect it.

Links to other websites, such as WhatsApp, Google Maps or social media, take you to services with their own privacy policies.

How long we keep it

  • Enquiries that don’t lead to work: up to 2 years after we last spoke, in case you get back in touch.
  • Client records: for as long as we work together, then 6 years after the end of the financial year they relate to, as required for tax purposes.
  • Website technical logs: only for as long as needed to keep the site secure.

After that, we delete it securely. You can ask us to delete your information sooner, see your rights.

Keeping it safe

This website uses an encrypted (HTTPS) connection, and the contact form has spam protection. Your information is stored on password-protected systems that only we can access, and we only give access to the people and services who need it to do their job.

Your rights

Under UK data protection law, you have the right to:

  • See the personal information we hold about you and get a copy of it.
  • Correct anything that is wrong or incomplete.
  • Delete your information, where we no longer have a good reason to keep it.
  • Limit how we use it, or object to us using it.
  • Move your information to another provider, in some situations.
  • Withdraw consent at any time, where we rely on it.

To use any of these rights, email info@amiadesign.co.uk. It’s free, and we’ll reply within one month.

Complaints

If you’re unhappy with how we’ve handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk or on 0303 123 1113.

Changes to this policy

We may update this policy from time to time, for example if we start using a new service. The date at the top shows when it was last changed.
